Sales Process

Sales Process Overview

The Sales process consists of the business documents used to manage a customer transaction from quotation through delivery and invoicing, including returns and credit notes.

Sales Organisation

Select the customer before entering the remaining Sales document information. Organisation defaults can affect VAT, price lists, currency, customer terms and linked sales agents.

Sales Quotation

A quotation can be created for a customer and contains a valid-until date. The quotation can then progress through the configured Sales flow.

Sales Order

A Sales Order records the customer's order and provides the starting point for the applicable fulfilment flow.

The Sales Order does not contain a due date. Depending on the first workflow action, subsequent documents must follow the selected flow.

CTO / Production Order

A create to order is a modified recipe for a specific sales order. A production order can also be created from a sales order.

Weigh Tickets

Weigh Tickets can be used within the Sales process where weighing is applicable. Weigh Ticket status and linking can be monitored from the relevant documents and list views.

Delivery Note

A Delivery Note records goods being delivered to the customer. A posted Delivery Note is not necessarily the final stock state; the Delivered state is the state that affects stock and cost of sales.

A picking slip can be created from a posted Delivery Note before dispatch or delivery.

Sales Invoice

The Sales Invoice records the customer's financial transaction. The available workflow icons depend on the document and user rights.

The invoice due date defaults according to the customer's configured terms.

Sales Flow

The Sales process must follow the flow selected by the first document-creation action.

·         If a Delivery Note is created from the Sales Order first, the invoice must be created from the Delivery Note.

·         If an Invoice is created from the Sales Order first, the Delivery Note must subsequently be created from the Invoice.

·         Do not split the flow by creating different downstream documents directly from the same originating Sales Order.


Sales Status and Processing

Sales documents use statuses and linked-document indicators to show whether documents and individual line items are unprocessed, partially processed or fully processed.

A Sales Order can automatically close when its quantities have been fully delivered and invoiced.

Sales Stock Movements

Product - Inventory items create stock movements during the Sales process. The movement follows the document flow. For example, an OnHold movement created by a Sales Order can transfer to an Invoice and then be released when the goods are delivered.

Credit Notes

Credit Notes and General Credit Notes are available as Sales documents. A Credit Note can be created through the applicable workflow from an invoice.

Customer Returns

Customer Returns are used to process goods returned by customers. Returns form part of the Sales workflow and are linked to the relevant originating documents.

Sales List Management

Use the filters on Sales document list views to identify outstanding, partially processed and fully processed transactions. The status icons allow users to quickly identify the next required action.
