Tags and Tag Groups
Tags should be thought of within the system in the same way that hashtags # are used in social media. It is a way to tag a transaction with supplementary information that will be pulled through to your financials.
Limited information from a transaction within Augtool is pulled through to the General Ledger. Too much information is no information. Should you wish to supplement the information pulled through to the General Ledger you would tag that transaction with a tag you have created. These tags can then be filtered on or searched for on your general ledger.
Organisations, Production Machines, Items, Item Categories and Centres can have tags associated with them which will then automatically tag the transaction that uses them. Instead of pulling through the full details of an organisation, only the organisation tag will be pulled through to the general ledger for instance.
Tags are usually used to tag regions or locations, types of Organisations or items such as Premium Customers or Suppliers or types of Items that need to be separated on the General Ledger that would not normally be separated by your chart of accounts. Should you want to have a chart of account for each sales item then you would not use tags. If you want one sales account for all sales of all items but still have the information of each item pulled through to the general ledger then you can use tags for this.
The centres will not be pulled through to the General Ledger but rather the tag that is already associated on the cost centre for instance.
Tags can and should be grouped into tag groups which will later be used to create rules. The system would force a tag, based on a rule from a certain tag group, so as to ensure that a tag from that tag group be used in a certain transaction.
